Job Overview:
We are seeking a proactive Customer Support & Admin Specialist to handle the day-to-day operational tasks that keep our business running smoothly. You will be responsible for managing high volumes of email traffic, ensuring new clients are onboarded accurately into our systems, and performing critical research into manufacturer return policies.
Client Overview:
Our client operates in the pharmacy returns industry, managing complex return processes for manufacturers. They are currently scaling operations and require dedicated support to manage customer communications, CRM data integrity, and manufacturer policy research.
Schedule:
- Monday - Friday, 9:00 AM - 5:00 PM EST (40h per week)
Responsibilities:
- Manage incoming customer and sales emails, triaging urgent matters and responding with templated communications
- Onboard new clients by completing data entry across the CRM (GoHighLevel) and the company app
- Research updated manufacturer return policies online and submit contact forms for manufacturers without published policies
- Track and coordinate pharmacy product returns in alignment with manufacturer guidelines
- Maintain accurate and up-to-date client records across multiple systems
- Escalate complex or high-priority inquiries to management promptly
- Coordinate workflow tasks and ensure no pharmacy returns are missed
Requirements:
- Proven experience in customer support and administrative roles
- Hands-on experience with GoHighLevel CRM
- Strong written communication skills with the ability to follow templated responses accurately
- High level of attention to detail, especially when managing data across multiple platforms
- Ability to conduct independent online research and synthesize findings
- Self-motivated with the ability to manage a task queue and work independently
- Bonus if you have experience in the pharmaceutical or returns management industry
- It helps if you have worked in a remote, high-volume administrative environment
