BAS Construction Bookkeeper (Xero)

Job Overview

Our client is looking for a highly organized and proactive Bookkeeper with experience in the construction, trades, or commercial projects industry. The ideal candidate will have a strong understanding of commercial retentions, job costing, accounts administration, and builder/client follow-ups. This role requires someone who can confidently manage bookkeeping functions while also supporting operational and administrative tasks alongside the estimator and internal team. Experience with Australian bookkeeping processes, BAS preparation, and Xero is highly preferred.

Schedule

  • Monday - Friday, 9:00 AM - 6:00 PM AEST (40 work hours per week) 

Responsibilities

Bookkeeping & Financial Administration

  • Manage day-to-day bookkeeping functions using Xero
  • Perform accurate data entry for project costing and financial tracking
  • Maintain clean and organized financial records
  • Process supplier invoices, reconciliations, and accounts payable/receivable
  • Assist with payroll support and general financial administration
  • Monitor cash flow and outstanding invoices

Commercial Retentions Management

  • Track and manage retention amount across multiple projects
  • Follow up with builders, contractors, and clients regarding outstanding retentions
  • Maintain accurate retention schedules and documentation
  • Coordinate retention claims, release dates, and supporting paperwork
  • Ensure all retention-related records are updated and properly monitored

Job Costing & Construction Support

  • Assist with accurate job costing and allocation of project expenses
  • Ensure financial data is entered correctly to support project profitability analysis
  • Work closely with the estimator and operations team on project administration
  • Support reporting requirements related to project budgets and costs

BAS & Compliance Support

  • Assist with BAS preparation and lodgment support (preferred)
  • Ensure compliance with Australian bookkeeping and record-keeping standards
  • Liaise with accountants or external finance providers when required

Administrative Support

  • Provide general administrative assistance to the team
  • Maintain organized digital records and documentation
  • Support scheduling, coordination, and operational reporting tasks
  • Communicate professionally with clients, suppliers, and builders

Requirements

  • 3+ years of bookkeeping experience, preferably within construction, trades, or commercial projects
  • Strong experience managing commercial retentions and builder/client follow-ups
  • Advanced proficiency in Xero
  • Experience with job costing and financial data allocation
  • Familiarity with Australian bookkeeping practices and BAS processes
  • Excellent attention to detail and accuracy
  • Strong communication and follow-up skills
  • Ability to manage multiple projects and deadlines simultaneously
  • Proactive, reliable, and highly organized work ethic
  • Comfortable working independently in a remote environment

Technical Requirements

  • Reliable computer or laptop setup
  • Stable high-speed internet connection
  • Quiet and professional remote working environment
  • BAS Proficiency, Xero, Microsoft Office/Google Workspace, and cloud-based systems

Qualifications

  • BAS Agent qualification or BAS preparation experience is highly advantageous
  • Experience supporting construction estimators or project teams
  • Knowledge of construction workflows, invoicing structures, and retention processes
  • Experience working with Australian construction or trade businesses
