Our client is seeking a tech-savvy, proactive, and highly adaptable AI Operations & Leasing Support Specialist to act as a key operational partner for their growing real estate business. This is not a traditional, task-oriented administrative role; it is designed for a modern professional who is passionate about leveraging cutting-edge AI tools, workflow automation, and specialized property management platforms to optimize operational efficiency. You will balance property management fundamentals—such as leasing coordination, tenant support, and vendor management—with high-level tech initiatives like deploying AI receptionists and automated communication streams. Schedule Monday - Friday, 9:00 AM - 6:00 PM PT, with a 1-hour unpaid break (40 hours per week) 

Responsibilities

  • Leasing & Tenant Support: Manage end-to-end communication with prospective and current tenants, coordinating leasing activities, viewing follow-ups, and inquiries for retail vacancies.
  • Property Management Platform Control: Actively update, track, and maintain task workflows, tenant profiles, and structural entries within TenantCloud.
  • AI & Automation Implementation: Support the configuration, deployment, and optimization of AI workflows, automated operational pipelines, and an AI receptionist setup.
  • Smart Content Generation: Leverage generative AI tools to draft professional tenant notices, leasing communications, emails, and internal operational documents efficiently.
  • Vendor & Tech Coordination: Serve as a point of contact for external partners, service providers, contractors, and technology platforms such as GoDaddy and RingCentral.
  • Accounts Receivable Support: Conduct professional, firm, and efficient follow-ups regarding delinquent rent and payment timelines while maintaining positive tenant relations.
  • Marketing & Social Media: Coordinate basic social media streams, handle asset organization, and support ongoing real estate marketing projects.
  • Process Engineering: Proactively identify bottlenecks in daily operations and design structured automations or system improvements to enhance team output.

Requirements

  • AI & Tech Aptitude: A strong, demonstrable interest in AI prompt engineering, Zapier/Make-style automations, and a curiosity for learning modern digital tools.
  • Software Familiarity: Experience with or a strong willingness to master TenantCloud, RingCentral, and GoDaddy ecosystems.
  • Operational Background: Experience in operations support, leasing coordination, property management, high-touch customer service, or executive administrative support is highly preferred.
  • Execution Autonomy: Proven ability to take an abstract idea or project goal and move it forward independently with minimal step-by-step supervision.
  • Communication Mastery: Exceptional written and verbal English communication skills, specifically tailored for professional U.S. consumer and corporate landscapes.
