Job Overview
Our client is looking for a Real Estate Transaction Coordinator to oversee the administrative, logistical, and compliance-related aspects of residential real estate transactions from listing preparation through closing and post-closing activities. This role serves as the operational backbone of the transaction process, ensuring contracts, timelines, documentation, and communication between all parties are handled accurately and efficiently. You will work closely with agents, clients, lenders, title companies, inspectors, and vendors to keep transactions organized, compliant, and on schedule while allowing agents to focus on business development and client relationships.

Responsibilities
Pre-Listing & Listing Management
- Prepare listing agreements, disclosures, and required real estate documentation
- Coordinate professional photography, videography, staging, and marketing preparations
- Enter and maintain accurate listing information within MLS systems
- Coordinate lockbox installations, signage, and vendor scheduling
Contract-to-Close Coordination
- Open escrow/title and ensure earnest money deposits are submitted on time
- Create and manage transaction timelines, contingency dates, and deadline reminders
- Coordinate inspections, appraisals, walkthroughs, and repair negotiations
- Review contracts and addendums for missing signatures, initials, dates, or incomplete information
- Communicate regularly with lenders, title companies, agents, and clients to ensure transactions remain on track
- Monitor loan progress and follow up regarding financing approvals and clear-to-close status
Compliance & Administrative Support
- Maintain organized digital transaction files for compliance and audit purposes
- Manage transaction workflows using platforms such as Dotloop, SkySlope, AFrame, or similar systems
- Prepare commission disbursement documentation and coordinate closing-related administrative tasks
- Ensure all required documentation is completed and properly archived
Client & Communication Management
- Serve as the primary communication liaison between agents, clients, lenders, inspectors, title officers, and vendors
- Provide transaction updates and milestone communications to buyers and sellers
- Coordinate closing appointments and final walkthrough logistics
- Support client experience through professional and proactive communication
Post-Closing Support
- Ensure final closing statements and settlement documents are properly stored
- Update CRM systems with client information and transaction details
- Send follow-up communications, thank-you notes, and review requests on behalf of agents
Requirements
- Previous experience in real estate transaction coordination, escrow support, or real estate administration in the US
- Strong understanding of the residential real estate transaction process from contract to close
- Experience with MLS systems, transaction management platforms, and e-signature tools such as DocuSign
- Exceptional organizational skills and attention to detail
- Ability to manage multiple active transactions and deadlines simultaneously
- Strong written and verbal communication skills
- Ability to work independently and proactively identify personal issues before escalation
- Calm and professional demeanor in fast-paced or high-pressure situations
- Familiarity with commission processing, compliance documentation, and brokerage procedures is a plus
