Overview
Our client is seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to the company’s Executive Director. The ideal candidate will be responsible for managing daily administrative operations, ensuring smooth communication, and supporting the Executive Director in maintaining an efficient and productive workflow. This role requires excellent time management skills, professionalism, discretion, and the ability to handle multiple priorities in a fast-paced environment.
Schedule:
- Monday to Friday, Flexible hours between 9:00 AM to 5:00 PM Pacific Time (20 hours per week)
Responsibilities
- Manage and maintain the Executive Director’s calendar, including scheduling meetings, appointments, and events while ensuring efficient time allocation and prioritization.
- Coordinate internal and external meetings, prepare meeting schedules, and assist with follow-ups to ensure timely completion of action items.
- Handle email management by monitoring inboxes, organizing correspondence, drafting responses, and escalating urgent matters when necessary.
- Arrange and confirm appointments, virtual meetings, and conference calls with clients, partners, and team members across different time zones.
- Provide scheduling support by coordinating availability, resolving calendar conflicts, and ensuring seamless day-to-day operations.
- Assist with administrative tasks such as document preparation, file organization, data entry, and maintaining accurate records.
- Support communication between the Executive Director and internal departments or external stakeholders in a professional and timely manner.
- Maintain confidentiality when handling sensitive company information, executive communications, and business documents.
- Help streamline workflows and improve administrative processes to enhance overall operational efficiency.
- Perform additional executive support and administrative duties as assigned.
Requirements
- Excellent written and verbal communication skills (non-negotiable)
- Proven ability to work independently with minimal supervision and consistently meet deadlines in a remote work environment.
- Strong adaptability and emotional intelligence for working with different communication styles, personalities, and professional environments.
- Capability to take brief information and expand it into actionable insights, organized plans, and clear next steps.
- Self-motivated with strong organizational and time management skills, including the ability to manage multiple priorities efficiently.
- High attention to detail and the ability to maintain accuracy while handling administrative and executive support tasks.
- Proficiency in managing calendars, emails, scheduling tools, and general office or productivity software.
- Ability to maintain professionalism, discretion, and confidentiality when handling sensitive information and executive communications.
- Reliable internet connection and professional home office setup to ensure uninterrupted communication and productivity.
- Strong problem-solving skills and the initiative to proactively address challenges before they escalate.
