Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the leadership team. This role is ideal for someone who thrives in a fast-paced environment, communicates professionally, and can manage multiple priorities with efficiency and discretion. The Executive Assistant will play a critical role in supporting daily operations, coordinating administrative tasks, managing schedules, handling communications, and helping leadership stay organized and focused.
Schedule:
- Monday to Friday, 9AM - 5PM EST
Responsibilities
- Manage executive calendars, appointments, and meeting schedules across multiple time zones
- Coordinate internal and external communications, including emails, calls, and follow-ups
- Prepare reports, presentations, spreadsheets, and documentation as needed
- Organize and maintain digital files, records, and operational documents
- Assist with project coordination and task tracking across departments
- Schedule meetings, prepare agendas, and take meeting notes when required
- Handle confidential information with professionalism and discretion
- Support leadership with research, data gathering, and administrative projects
- Coordinate with healthcare providers, support teams, and external partners when needed
- Monitor priorities and proactively identify opportunities to improve workflow efficiency
- Assist with customer support escalations or operational follow-ups as assigned
- Help manage vendor communications, invoices, and administrative processes
Requirements
- Proven experience as an Executive Assistant, Virtual Assistant, or Administrative Assistant
- Excellent written and verbal English communication skills
- Strong organizational and multitasking abilities
- High attention to detail and the ability to work independently
- Experience supporting executives or leadership teams remotely
- Proficiency with Google Workspace and Microsoft Office applications
- Comfortable using communication and project management tools such as Slack, Zoom, Trello, or Asana
- Ability to prioritize tasks and meet deadlines in a fast-paced environment
- Professional demeanor with strong problem-solving skills
- Experience in healthcare, telehealth, or medical administration is a plus
Preferred Qualifications
- Experience working with U.S.-based companies or healthcare organizations
- Familiarity with HIPAA-conscious communication practices
- Experience handling customer service or patient support coordination
- Knowledge of CRM or ticketing systems is an advantage
