Transport Operations Administrator (UK Compliance)

Overview:

A well-established UK private hire and transport company managing a large network of drivers and servicing government, healthcare, and private sector contracts. The business operates in a highly regulated environment requiring strong administrative coordination, compliance tracking, and professional client communication.

We are seeking a highly organized and proactive Transport Operations Administrator (UK Compliance) to support daily operations, compliance management, and client communication within a fast-paced transport environment.

This role is responsible for document management, renewal tracking, customer communication, and operational administration, ensuring the business remains compliant and operationally efficient across a large driver network.

Schedule:

  • Full Time - 40h per week, Monday- Friday

  • Business hours, London time zone

  • Ideally 9:00 AM - 5:00 PM but flexible (GMT/BST)

Responsibilities:

Compliance & Documentation Management

  • Manage and maintain key business documentation including operator licences, insurance policies, and compliance records

  • Monitor renewal and expiry dates for contracts, policies, and agreements to ensure timely action

  • Maintain organized digital records for drivers, vehicles, and operational compliance documentation

  • Ensure records remain accurate, updated, and audit-ready

Customer Communication & Front-Line Support

  • Handle inbound email and phone inquiries professionally and efficiently

  • Respond to quote requests, customer questions, and operational inquiries

  • Address and resolve client complaints with a professional, solution-oriented approach

  • Serve as a front-facing representative of the business for customers and partners

Administrative & Operational Support

  • Set up and manage customer accounts for new client onboarding

  • Support invoicing and general office administration following training

  • Coordinate daily operational workflows and maintain administrative organization

  • Assist internal teams with documentation and scheduling support as needed

Requirements:

  • Proven experience in an administrative assistant, receptionist, or office support role

  • Strong written and verbal English communication skills

  • Excellent attention to detail, particularly around compliance and document tracking

  • Strong organizational and time-management skills

  • Ability to manage multiple administrative workflows simultaneously

  • Ability to work independently with minimal supervision in a remote environment

  • Professional and customer-focused communication style

Highly Regarded Skills & Experience:

  • Experience within transport, logistics, private hire, or fleet-based industries

  • Familiarity with UK compliance or regulated business environments

  • Experience managing insurance, licensing, or contract renewal processes

  • Experience handling customer complaints or service coordination

  • Familiarity with invoicing, scheduling, or operational administration systems

Scope:

  • Support day-to-day operations for a transport business managing approximately 400 drivers
