Property Management Admin Assistant

Job Overview

Our client is looking for a professional and organized Administrative Assistant to handle main line phone assistance, work order management, and general administrative support. This role is critical in ensuring homeowners receive timely information and that property maintenance tasks are tracked and completed efficiently.

Client Overview

Based in San Diego, California, the client is a property management firm that offers comprehensive support for homeowners associations (HOAs), ranging from financial-only services to full-scale community management.

Schedule

  • Monday - Friday, 09:00 AM - 05:00 PM PT, with a 30-minute paid break (40 work hours per week)

Responsibilities

  • Primary Telephone Support & Client Relations: Professionally, efficiently, and courteously manage all incoming inquiries from homeowners, vendors, and external agents. Accurately diagnose client needs, provide comprehensive information in alignment with company policies, and route calls to the appropriate personnel. Ensure all interactions are meticulously documented within the company’s CRM system in real-time.
  • End-to-End Request & Communication Management: Direct the lifecycle of all incoming requests received via phone, SMS, email, web portals, or other communication channels from homeowners, vendors, and outside agents. Act as the primary point of contact from initial intake to final resolution or successful handoff to the appropriate internal team member. Verify the accuracy and completeness of all inquiries, proactively track pending requests, and ensure timely completion and stakeholder satisfaction while maintaining a pristine digital ticketing system.
  • Comprehensive Administrative & Operations Support: Provide high-level administrative assistance to the core team, including precise data entry, digital file organization, and professional document preparation. Efficiently manage team calendars, coordinate multi-stakeholder schedules, and arrange meetings to optimize operational workflow.

Requirements

  • Proven experience in providing administrative support
  • Proficiency in Microsoft Office Suite and online collaboration platforms
  • Excellent verbal and written communication skills in English
  • Strong organizational and time management skills to handle multiple tasks and prioritize effectively
  • Ability to work independently with minimal supervision and demonstrate initiative
  • Strong attention to detail and accuracy in completing tasks
  • Professionalism and exceptional customer service skills

Qualifications

  • Familiarity with homeowners associations (HOAs) or property management (Preferred)
