Our client is seeking a dedicated Administrative Assistant to serve as the vital first point of contact for a wedding and events business. In this role, you will act as the administrative backbone for the operations, sales, and coordination teams, ensuring that every couple and client receives a professional and friendly experience from their very first inquiry. This is a high-volume support role where you will manage a steady flow of emails and leads, allowing senior planners to focus on high-value event execution.

Monday - Friday, 08:30 AM - 12:30 PM Hawaii Standard Time (20 hours per week)
Responsibilities
- Communication Management: Manage and respond to 20–30 daily inbound emails, including reservation requests, quote follow-ups, and general inquiries.
- Client Liaison: Serve as the first point of contact for phone calls, handling basic questions and transferring calls to the appropriate team members.
- Product Knowledge: Provide accurate and detailed information regarding wedding and event packages to prospective clients via phone, email, and text.
- Lead Support: Assist in managing 40–50 active leads, ensuring timely follow-ups and scheduling appointments for the sales team.
- Organization: Support the sales and coordination departments by keeping client records, communications, and documentation current and organized.
- General Administration: Handle routine administrative tasks to streamline workflows and improve overall team efficiency.
Requirements
- Prior experience in an administrative, receptionist, or customer service role.
- Strong written and verbal communication skills with a professional and friendly tone.
- Ability to quickly learn and retain detailed knowledge of various service offerings and packages.
- High level of attention to detail when managing client information and correspondence.
- Comfortable working independently with minimal supervision in a remote setting.
- Reliability and consistency in meeting daily communication quotas.
Qualifications
- Familiarity with phone systems such as RingCentral (Preferred).
- Interest in the wedding and events industry or long-term growth within event services (Preferred).
