Legal Operations & Systems Manager

Job Overview

Our client is seeking a brilliant operational architect to serve as their principal builder of operational infrastructure. This is a senior, self-directed role for someone who sits at the intersection of Business Process Architecture, Legal-Tech Engineering, and Applied AI. Your mission is to design a firm that scales without proportional headcount growth. You will own the process architecture, optimize core practice management systems, and engineer the automation that keeps fee-earners focused on high-value law.

Client Overview

Our client is a premier Sydney-based boutique law firm specializing in high-stakes disputes, insolvency, and contentious regulatory matters. They operate with a simple philosophy: Mastery That Matters. As they scale toward a $20M+ revenue target, they are deliberately building the infrastructure required to support elite-level legal work. The firm runs on a highly structured operating system (EOS) and is committed to an "Automation First" culture.

Schedule

  • Monday - Friday, 9:00 AM - 6:00 PM AEST (40 work hours per week)

Responsibilities

  • Process Architecture: Design and maintain the firm’s complete "Enterprise Process Map." You will translate complex legal workflows into clear, streamlined systems and Standard Operating Procedures (SOPs).
  • Systems Management: Lead the configuration and continuous improvement of the core legal-tech stack (Practice Management and Document Management systems). You will ensure data is clean, dashboards are accurate, and tools are fully integrated.
  • Automation & AI Engineering: Serve as the lead "Automation Engineer." You will design and implement agentic AI workflows and low-code automations (via platforms like Zapier, Make, or Power Automate) to eliminate repeatable manual tasks.
  • Operational Intelligence: Own the firm’s performance data. You will build the reporting dashboards that give leadership real-time visibility into utilization, billing, and matter health.

Requirements

  • Systems Thinker: 5+ years in Operations or Systems Management, ideally within a professional services or legal environment.
  • Platform Agnostic: Ability to act as a "Power User" of Tier 1 Legal Practice Management Systems (e.g., ActionStep, Clio, LEAP, iManage).
  • The Builder: Proven experience building workflows, including familiarity with APIs, webhooks, and modern AI orchestration.
  • Strategic & Precise: Background in Lean Six Sigma, or a similar process improvement framework.
