Overview
We are seeking a high-level partner to serve as the right hand to our leadership, ensuring seamless operations across podcast production, executive administration, and social media. This is a detail-oriented, execution-heavy role designed for a proactive professional who thrives on taking ownership and keeping the engine running in a fast-paced environment.
Schedule:
- Part-time, 20–25 hours per week. Monday–Friday with overlap in US Eastern Time business hours (flexible daily start).
Responsibilities
- Research, source, and outreach to potential guests while managing the entire booking pipeline and logistics in ClickUp
- Manage recording links, tech-checks, prep documents, and post-recording assets like show notes and promo graphics
- Triage the founder’s Gmail and own the Google Calendar to prevent conflicts and ensure prioritized daily scheduling
- Handle travel coordination, meeting reminders, and general administrative follow-through to filter noise for leadership
- Schedule and publish content across all major platforms (IG, LI, FB, TikTok, YT, X) and monitor weekly performance
- Respond to comments and DMs in the founder’s voice, moving warm leads into DMs for further qualification
- Maintain GoHighLevel (GHL) data, including pipelines, tags, basic funnels, and email/SMS sequences
- Monitor and troubleshoot automations in GHL and ClickUp to ensure no breakages in lead or client workflows
- Capture recurring tasks via Loom and written guides to build a permanent library of step-by-step team workflows
- Create and update reusable templates, outreach scripts, and checklists to maintain consistent team execution
Requirements
Technical Skills (Required)
- GoHighLevel (GHL) — hands-on experience with contacts, pipelines, funnels, forms, calendars, and workflows
- ClickUp — confident managing spaces, folders, lists, tasks, dashboards, and custom fields
- Gmail & Google Workspace — advanced inbox management, Google Calendar, Drive, Docs, Sheets
- Social media platforms — Instagram, LinkedIn, Facebook, TikTok, YouTube, X — posting, scheduling, engagement
- Scheduling tools — Calendly, native GHL calendars, or equivalent
- Basic content tools — Canva, Loom, Google Docs
Preferred (Nice-to-Have) Skills
- Experience booking or managing podcast guests for a show
- Prior experience writing SOPs or process documentation
- Familiarity with Loom (or similar) for recording walkthroughs
- Familiarity with Riverside, Zoom, or similar recording platforms
- Basic video/audio clipping (Descript, Opus Clip, CapCut) or willingness to learn
- Light automation experience (Zapier, Make, n8n)
- Prior work with coaches, creators, podcasters, or agencies
- Understanding of funnels, lead magnets, and email marketing fundamentals
Communication & Execution Skills
- Fluent professional English (C1+) with the ability to draft polished, on-brand emails and DMs in the founder's voice
- Confident flagging priorities for leadership and comfortable with video calls and async direction
- High-level time management and the ability to juggle multiple workstreams without dropping the ball
- A problem-solver with high accountability and extreme attention to detail; you don't wait for things to break before fixing them
- Fluency in Spanish or Portuguese is a plus
