Monday - Friday, 8:00 AM - 5:00 PM CST, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Transaction Coordination: Coordinate brokerage activities and manage deal pipelines from initiation to closing, ensuring all deadlines are met.
- Executive Support: Manage executive communications, including intensive email organization and professional client follow-ups.
- CRM & Data Management: Maintain and update CRM systems with current client information and real-time deal status.
- Documentation: Prepare and process contracts, leases, and other legal documentation with high accuracy.
- Administrative Filing: Handle digital filing and document organization for all active deals and historical records.
- Strategic Outreach: Send strategic follow-up communications to clients, prospects, and business partners to keep transactions moving forward.
- Project Tracking: Support various deal coordination activities that ensure seamless operational flow.
Requirements
- Experience: Previous experience as a virtual assistant or administrative assistant.
- Communication: Strong email management and professional verbal/written communication skills.
- Technical Skills: Proficiency in CRM systems, database management, and document preparation.
- Organization: Excellent organizational abilities with a proven track record of tracking multiple projects simultaneously.
- Detail-Oriented: High attention to detail, particularly regarding filing systems and deadlines.
- Industry Context (Bonus): Familiarity with real estate processes, contract management, or experience in professional services/transaction-based industries.
