The Opportunity
This is a dynamic, people-focused role combining executive support and community engagement.
You will work closely with the Co-Founder while also owning the end-to-end volunteer experience—from recruitment and onboarding to engagement and retention. This role is ideal for someone who is highly organized, proactive, and passionate about working with people in a purpose-driven environment.
Schedule: Monday – Friday, Flexible schedule (40 hours per week) - (Australia – New South Wales alignment)
What You Will Do
Executive Support
- Provide high-level administrative and coordination support to the Co-Founder
- Act as a key liaison between the Co-Founder and internal/external stakeholders
- Support planning and execution of events and community initiatives
- Manage contacts, communications, and engagement tracking
Volunteer Coordination
- Lead volunteer recruitment through online platforms, communities, and outreach
- Match volunteers to roles based on skills, interests, and organizational needs
- Coordinate volunteer schedules, events, and on-site experiences
- Deliver onboarding, orientations, and engagement initiatives
- Maintain accurate records and manage volunteer data in systems such as Salesforce
- Act as the main point of contact for volunteer inquiries and communications
Operations & Experience
- Ensure a seamless and positive volunteer experience from start to finish
- Monitor participation, engagement, and retention trends
- Identify and implement improvements to volunteer programs and processes
- Support compliance with policies, safety standards, and operational procedures
- Assist with inbound inquiries and general coordination needs
What You Bring
- 2+ years of experience in executive assistance, event coordination, or volunteer/community management
- Strong organizational skills with the ability to manage multiple priorities
- Excellent communication and interpersonal skills
- Experience working with tools such as Canva, event platforms (e.g., Humanitix), and CRM systems
- Ability to work independently in a remote environment while staying highly responsive
- A proactive, solutions-oriented mindset with strong attention to detail
Nice to Have:
- Experience in nonprofit, community, or social impact organizations
- Exposure to event planning, engagement programs, or stakeholder coordination
