Job Overview

Our client is looking for a detail-oriented and proactive Executive Assistant to provide high-level support for their executive operations. This role focuses on streamlining communication, managing complex schedules, and ensuring financial transactions are tracked with precision.

Schedule

  • Monday - Friday, 9:00 AM - 1:00 PM PST (20 work hours per week)

Responsibilities

Email Coordination & Scheduling

  • Monitor and correspond via Gmail and Microsoft Outlook
  • Manage meeting requests by responding to inbound emails
  • Coordinate availability and schedule meetings via calendar invites
  • Handle scenarios where the executive CCs the assistant into threads

Calendar Management

  • Schedule and input calendar events in Microsoft Outlook
  • Ensure meetings are accurately logged with relevant details
  • Avoid scheduling conflicts and manage availability

Expense Monitoring

  • Review and track expenses from American Express statements
  • Flag irregularities or notable spend
  • Maintain organized records of expenses

Scope

  • Core focus on: Email handling, scheduling coordination, and light financial tracking
