Job Description

As a Property Management Virtual Assistant, you will manage incoming tenant inquiries, coordinate viewing appointments, and maintain accurate records of all communications. You will serve as the first point of contact for prospective tenants, ensuring timely responses and a smooth booking experience.

This role requires strong organizational skills, attention to detail, and the ability to manage multiple conversations across different channels.

Schedule: (40 hours per week) Wednesday to Sunday 9:00 AM – 5:00 PM (Ontario, Canada Timezone)

Responsibilities

Tenant Inquiry Management

  • Respond promptly to incoming emails and social media messages
  • Engage prospective tenants professionally and efficiently
  • Manage inquiry flow across multiple communication channels
  • Ensure no leads are missed or left unattended

Scheduling & Coordination

  • Book and coordinate property viewing appointments
  • Manage calendar scheduling for showing agents
  • Confirm and reschedule appointments as needed
  • Ensure all bookings are accurate and properly recorded

Follow-ups & Lead Management

  • Conduct timely follow-ups with prospective tenants
  • Maintain consistent communication to secure attendance
  • Track and manage tenant interactions

Data & Record Keeping

  • Organize and maintain tenant contact information
  • Ensure all records are accurate and up-to-date
  • Maintain structured documentation of communications

Requirements

  • Experience in administrative support, property management, or a client-facing role
  • Strong written communication skills
  • High attention to detail when managing schedules and data
  • Ability to work independently with minimal supervision
  • Excellent organizational and time management skills
  • Comfortable handling multiple inquiries simultaneously

Scope & Engagement

  • Full-time role (40 hours per week)
  • Schedule: Wednesday to Sunday, 9:00 AM – 5:00 PM (Ontario timezone)
