Administrative & Email Marketing Support Specialist

We’re looking for a highly organized and detail-oriented professional who can confidently handle a mix of administrative support, client communication, and light marketing tasks in a remote setup.

In this role, you’ll be responsible for managing and responding to client emails with professionalism and clarity, maintaining and updating Excel spreadsheets to support daily operations, and assisting in creating visually engaging posters and flyers for new services and campaigns. You’ll also play a key role in executing email marketing campaigns using MailChimp, helping ensure our messages reach the right audience effectively. Alongside these, you’ll support general backend administrative tasks that keep the business running smoothly.

Schedule

  • Monday-Friday 9.30am-1.30pm - Melbourne Timezone

 Responsibilities 

  • Manage and respond to client emails promptly, ensuring professional and clear written communication
  • Maintain, update, and review Excel spreadsheets to support ongoing business operations
  • Design promotional posters and flyers for new activities and service launches
  • Create and distribute email marketing campaigns to the client database using MailChimp
  • Support general backend administrative tasks to ensure smooth day-to-day operations

Requirements

  • Proven experience with Excel spreadsheets and data management
  • Strong written English communication skills with a professional tone
  • Experience in basic graphic design for marketing materials such as posters and flyers
  • Familiarity with MailChimp or similar email marketing platforms
  • High level of attention to detail and ability to work independently
  • Strong organizational and time management skills

Scope

  • Serve as the primary backend support handling all client email correspondence
  • Ensure marketing materials are designed and distributed in a timely manner for new launches
  • Maintain accuracy and consistency across all spreadsheets and administrative records
  • Contribute to brand consistency across all client-facing communications and marketing collateral
  • Operate within the client's specified time zone and working hours
