Bookkeeper Assistant

Job Overview
Detail-oriented Bookkeeping & Administrative Coordinator supporting a multi-property hospitality portfolio. Responsible for daily bookkeeping, transaction coding, reconciliations, and maintaining accurate financial records. Collaborates closely with the team while assisting with bi-weekly payroll and administrative operations.

Schedule:
Mon-Friday 9am-5pm CST Every other Sunday for payroll, can take Tuesday or Thursday off when working Sunday.

Responsibilities:

  • Manage day-to-day bookkeeping tasks including data input, transaction coding, and account reconciliation across multiple hotel properties
  • Maintain and organize financial data within Excel spreadsheets using sorting, filtering, and formulas
  • Support payroll processing on a bi-weekly basis, including working every other Sunday during payroll weeks
  • Oversee labor management tracking and ensure accurate reporting for each hotel in the portfolio
  • Assist with administrative tasks and collaborate with the in-office team to ensure smooth daily operations
  • Ensure proper mapping of transactions to the correct chart of accounts to maintain financial accuracy

Requirements:

  • Prior experience in bookkeeping and administrative support, preferably with a US-based company
  • Strong proficiency in Excel including formulas, filtering, sorting, and managing multiple spreadsheets
  • Familiarity with QuickBooks or similar accounting software
  • Understanding of chart of accounts, account mapping, and proper transaction coding
  • High level of attention to detail and accuracy in financial data entry
  • Strong time management skills with the ability to handle a high volume of work efficiently

Scope:

  • Full-time role working US Central Time hours (flexible between 6:00 AM–5:00 PM CT)
  • Monday to Friday schedule with every other Sunday required for payroll processing, with a compensating day off provided
  • Supporting the accounting and administrative needs of a four-hotel hospitality portfolio
  • Working alongside an existing in-office team member to ensure seamless workflow
  • Collaborating in real time with the on-site team to address questions and resolve issues promptly
