Overview
Join our mortgage operations team as a detail-oriented Virtual Assistant dedicated to ensuring seamless file progression from application to closing. This role offers the opportunity to leverage your expertise in Filogix and mortgage processing to provide high-level administrative support in a fast-paced, professional environment.
Schedule: Monday to Friday 10AM to 2PM Eastern Time (20-hours per week, 4-hours per day)
Responsibilities
- Perform credit checks accurately and in a timely manner
- Enter mortgage applications into the Filogix system
- Send required documentation and attachments to lenders
- Order property appraisals through online systems
- Monitor deal progress and follow up on outstanding requirements
- Upload and organize documents within lender and internal portals
- Conduct file audits to ensure compliance and completeness
- Review incoming mail and respond to client inquiries with professional thank-you emails
- Maintain strict confidentiality of all client and financial information
- Communicate effectively using Velocity CRM to update files and track progress
Requirements
- Prior experience in mortgage administration, loan processing, or related financial support role
- Familiarity with mortgage systems such as Filogix (preferred)
- Strong attention to detail and accuracy in data entry and documentation
- Excellent written communication skills
- Ability to manage multiple files and deadlines simultaneously
- Comfortable working independently in a remote/virtual setup
- High level of confidentiality and professionalism
