Role Overview:

We are seeking a virtual assistant to support a busy consultant by managing email, calendar, invoicing, and general administration. Responsibilities include systematizing a high-volume inbox, optimizing scheduling, processing accurate invoice submissions, and using AI tools (e.g., ChatGPT) to refine communications. The role also involves organizational tasks tied to a major book launch and future business scaling. Ideal candidates have proven VA experience, strong writing skills, attention to detail with finances and schedules, and the ability to work independently in a remote setting.

Client Overview:

An independent consultant based near London advises organizations on systemizing operations, hiring, and team setup. He currently serves multiple clients, which leaves his own administrative tasks neglected—resulting in late invoicing, an overflowing inbox, and an unstructured calendar. With a book launching in September that is expected to drive significant business growth, his long-term vision includes releasing supporting software and scaling from Q4 onward. Juggling client work with preparation for future expansion, he recognizes the need for foundational administrative support now, even though he helps other businesses achieve the organization he himself requires.

Schedule:

  • Mondays to Fridays, flexible schedule within UK business hours (between 8:00 am and 5:00 pm) (UK Time, 20 hours per week)

Scope:

  • Supporting a solo consultant across email management, calendar coordination, and invoice processing
  • Building foundational administrative systems to prepare the business for growth from Q4 onwards
  • Maintaining confidentiality and professionalism across all client-facing communications
  • Adapting to evolving responsibilities as the business scales following a book launch in September

Responsibilities:

  • Manage and systematize a high-volume email inbox, ensuring timely responses that reflect the client's brand tone and voice
  • Coordinate calendar management to optimize scheduling around client commitments and business priorities
  • Process and submit invoices accurately and on time to maintain smooth financial operations with the accountant
  • Leverage AI tools such as ChatGPT to draft, review, and refine communications for quality and consistency
  • Provide general administrative support to free the consultant to focus on revenue-generating client work
  • Assist with organizational tasks in preparation for a major book launch and subsequent business scaling

Requirements:

  • Proven experience in a virtual assistant or personal assistant role supporting a busy professional
  • Strong written communication skills with the ability to adapt to a specific brand voice
  • Familiarity with AI-enabled tools for email management and content validation
  • High level of attention to detail, particularly with financial documents and scheduling
  • Ability to work independently with minimal supervision in a remote environment
