Logistics Operations Analyst

Job Overview

Our client is seeking a technical Logistics Operations Analyst to support transport and logistics operations across Australia. This is not a basic virtual assistant or manual data entry role; it is a mid-to-senior level operations position requiring a highly analytical mind and a high degree of technical comfort. You will be responsible for the "execution layer" of the supply chain—combining complex data manipulation, transport planning, and system coordination to ensure operational efficiency. 

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM Queensland Time, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Data Processing & Preparation: Clean, standardize, and format external data for system uploads; maintain high data accuracy across spreadsheets and internal platforms.
  • Routing & Job Allocation: Assign booked jobs to trucks based on location, capacity, and timing; sequence jobs to optimize delivery routes and support forward planning.
  • System & Workflow Coordination: Utilize Transport Management Systems (TMS), APIs, and Google Sheets to generate daily pickup lists and coordinate data flow between stakeholders.
  • Customer Communication: Manage system-driven communications, including sending ETA notifications via SMS and ensuring timing alignment with routing plans.
  • Forward Planning: Organize runs 2–3 days in advance to ensure operational readiness and efficiency.
  • Quality Control & Reconciliation: Review completed runs to identify discrepancies, investigate missing Proof of Delivery (POD) documents, and resolve inconsistencies.
  • Operational Support: Adapt to fast-paced changes, assisting with urgent operational tasks via email, calls, or internal team requests.

Requirements

  • Experience: Proven background in remote logistics, transport, or supply chain operations.
  • Advanced Spreadsheet Skills: Expert-level proficiency in Excel or Google Sheets (XLOOKUP/VLOOKUP, IF statements, ARRAYFORMULA, and data structuring).
  • Technical Proficiency: Highly proficient in CRM / systems usage (TMS, CRM, or similar platforms)
  • Technical Aptitude: Experience with data cleansing, formatting, and the ability to master new software and API-driven platforms quickly.
  • Analytical Thinking: Strong logical reasoning with the ability to manage structured, repetitive tasks with high attention to detail.
  • Process Mindset: Ability to own a workflow from start to finish rather than just executing isolated tasks.

Qualifications

  • Dispatch Knowledge: Exposure to routing, dispatch, or transport planning is a significant plus.
  • Automation Interest: Experience with system integrations or a desire to grow into process automation.
