Bookkeeper (Xero & QuickBooks)

Job Overview

Our client is a thriving Toronto-based accounting firm that specializes in serving restaurants, tech startups, and retail businesses. You will be the backbone of financial operations for a diverse portfolio of clients, handling essential bookkeeping tasks that keep these businesses running smoothly. This role offers the perfect blend of routine expertise and meaningful impact, operating within a modern, cloud-based environment. You’ll work independently in a supportive setting that values professional excellence, clear communication, and accountability.

Schedule

  • Monday - Friday, 9:00 AM - 5:00 PM ET, with a 30-minute paid break (40 hours per week)

Responsibilities

  • Document Management: Process and manage bills through the HubDoc document management system.
  • Data Publishing: Publish processed transactions to Xero and QuickBooks client files with high precision.
  • Reconciliations: Perform comprehensive bank and account reconciliations to ensure financial accuracy.
  • Financial Reporting: Upload sales reports as journal entries and prepare accounts payable summaries for client review and approval.
  • Communication & Inbox Management: Access client accounting emails via Missive to collect bank statements, manage bill payments, and handle basic information gathering.
  • Workflow Organization: Maintain organized workflows and track tasks using ClickUp project management software.
  • Information Gathering: Communicate professionally with clients via email for document requests and follow-ups.

Requirements

  • Software Mastery: Strong proficiency in Xero (primary platform) and a solid working knowledge of QuickBooks.
  • Platform Experience: Experience with HubDoc or similar platforms (Dext experience is a bonus).
  • Bookkeeping Knowledge: A solid understanding of fundamental bookkeeping principles and procedures.
  • Communication: Excellent written communication skills for professional email interactions with Canadian clients.
  • Attention to Detail: Meticulous accuracy in financial data entry and a "compliance-first" mindset.
  • Self-Management: Ability to work independently and manage multiple client files efficiently in a remote setup.
  • Technical Readiness: Reliable internet connection and a professional remote work environment.

Qualifications

  • Experience with ClickUp or similar project management tools is a plus.
  • Comfortable working across different time zones and dynamic client schedules.
  • Proven ability to handle high-volume data entry while maintaining high quality.
