Job Overview
Our client is looking for a Head of Operations & Business Systems to own and scale the operational backbone of Clarasight as the company grows. This is a high-impact leadership role responsible for ensuring the business runs efficiently across all core functions, including hiring, people operations, go-to-market systems, internal tooling, automation, and company-wide process design.
You will act as the central operator of the business—building structure where none exists, improving systems continuously, and ensuring teams can execute at speed without operational breakdowns. This role reports directly to the CEO and touches every part of the organization.

Monday - Friday, 08:00 AM - 05:00 PM EST, with 1 hour unpaid/paid break (40 work hours per week)
Responsibilities
GTM & Revenue Operations
- Own CRM systems and go-to-market workflows
- Maintain clean and reliable sales pipelines and reporting
- Ensure seamless coordination between marketing, sales, and revenue teams
- Build scalable processes that support predictable revenue execution
Hiring & Talent Operations
- Manage end-to-end recruitment operations across all roles
- Oversee job descriptions, candidate pipelines, interview scheduling, and offers
- Ensure a structured, efficient, and high-quality hiring experience
- Coordinate hiring across multiple departments simultaneously
People & HR Operations
- Build and manage HR infrastructure including onboarding and offboarding
- Oversee compliance, benefits administration, and employee experience
- Support global hiring, including visa and international employment coordination
- Ensure consistent HR processes across a distributed team
Process Design & Internal Systems
- Identify operational gaps and design scalable solutions
- Implement and manage core tools (Notion, Slack, HubSpot, HRIS, etc.)
- Maintain clean documentation and standardized workflows
- Continuously improve internal operational efficiency
Automation & Optimization
- Build automations to reduce manual operational workload
- Leverage AI and no-code/low-code tools to scale output efficiently
- Streamline workflows across sales, hiring, finance, and operations
Design Operations
- Coordinate internal and external design resources
- Ensure consistent brand execution across decks, website, and materials
- Provide direction and feedback to maintain high visual standards
- Translate business needs into clear design requirements
Systems Administration & Cleanup
- Maintain structured, organized internal systems
- Manage user permissions, access control, and tool governance
- Prevent system sprawl and ensure operational clarity as the company scales
- Keep documentation accurate and up to date
Finance & Vendor Coordination
- Support budgeting, expense tracking, and operational reporting
- Manage vendor relationships and external service providers
- Coordinate with accountants or fractional finance partners
- Ensure operational alignment with financial processes
Requirements
- 3–5 years of experience in operations, chief of staff, or similar roles
- Experience in startup or high-growth environments strongly preferred
- Proven ability to build systems and processes from scratch
- Strong execution skills with the ability to switch between strategy and hands-on work
- Experience managing or coordinating hiring across multiple roles
- Strong understanding of HR operations (onboarding, compliance, global teams)
- Fluent in modern SaaS tools (HubSpot, Notion, Slack, Google Workspace, Zapier, etc.)
- Professional communication skills with executives, candidates, and cross-functional teams
Qualifications
- Experience in system administration (SSO, permissions, IT tooling management)
- Background in SaaS, enterprise software, or travel tech
- Experience with global payroll, visas, or international hiring
- Familiarity with AI tools and automation-first workflows
- Startup experience (Series A or early-stage)
- Exposure to finance operations or working with fractional CFOs
