Overview
We are seeking a highly experienced and detail-oriented Legal Assistant / Law Clerk to support a busy Canadian law firm focused primarily on family law, with additional exposure to criminal law and civil litigation.
This role replaces a long-term team member and is critical to the firm’s day-to-day operations. The ideal candidate will take ownership of the “heavy lifting” of file organization, disclosure management, and drafting, allowing lawyers to focus on strategy and advocacy. We are looking for someone proactive, highly organized, and experienced in handling complex family law matters with professionalism and care.
Key Responsibilities
Drafting & Legal Documentation
- Prepare and draft court materials, including Applications, Answers, Affidavits, Financial Statements (Form 13/13.1), and Minutes of Settlement
- Assist in preparing Bills of Costs and other litigation documents
- Ensure accuracy, completeness, and compliance with Ontario court requirements
Disclosure & Financial Document Management
- Coordinate the collection, review, and organization of financial disclosure (bank statements, Notices of Assessment, corporate records, etc.)
- Analyze disclosure to identify gaps, inconsistencies, or missing information
- Prepare and organize financial statements for family law matters
- Assist with support calculations using DivorceMate (or similar tools)
File & Case Management
- Maintain and organize electronic files with a high level of accuracy
- Track litigation deadlines and ensure timelines are met
- Manage matters within Clio, including document storage, updates, and time entries
Client Communication & Intake
- Serve as a primary point of contact for clients
- Conduct client intake and gather relevant information efficiently
- Provide updates and maintain professional, empathetic communication with clients
Court Filings & Procedures
- Handle service and filing of legal documents in accordance with Ontario Family Law Rules
- Manage online court filing portals and ensure compliance with procedural requirements
Legal Research
- Conduct legal research using CanLII and other databases
- Locate relevant case law to support ongoing matters
Bookkeeping & Compliance
- Assist with bookkeeping tasks in compliance with Law Society of Ontario (LSO) requirements
- Support trust accounting, billing, and financial record-keeping processes
Qualifications & Requirements
- 3+ years of experience as a Legal Assistant or Law Clerk, preferably in family law
- Experience working in an Ontario, Canada legal environment strongly preferred
- Strong knowledge of Ontario Family Law Rules, court procedures, and relevant legislation (e.g., Children’s Law Reform Act)
- Proven experience preparing affidavits, financial statements, and managing disclosure
- High level of attention to detail, particularly in reviewing legal and financial documents
- Excellent organizational and time management skills
- Strong written and verbal communication skills with a professional and empathetic approach
- Ability to work independently and manage multiple priorities in a fast-paced environment
Technical Skills
- Proficiency in Clio (or similar legal practice management software)
- Experience with DivorceMate / DivorcePath (or similar tools)
- Strong working knowledge of Adobe and Google Workspace
- Familiarity with legal research tools such as CanLII
- Experience with AI tools is an asset
