Appointment Setter

Job Overview:

We are seeking a results-driven Appointment Setter to manage the bridge between the company's marketing efforts and our internal scoping process. You will be responsible for managing existing databases of potential leads (specifically schools and commercial entities) and executing a strategic "one-two punch" of marketing blasts followed by direct phone outreach.

The goal is to secure appointments for our project team to visit sites, take measurements, and begin the estimating process.

Schedule:

  • Flexible within client business hours (Brisbane, QLD time); 4 hours a day, 20 hours a week

Responsibilities:

  • Lead Management: Organize and maintain lead spreadsheets and databases, ensuring data integrity within our CRM/marketing tools.
  • Outbound Outreach: Conduct professional follow-up calls to leads who have received marketing blasts to gauge interest and qualify requirements.
  • Appointment Setting: Coordinate and schedule site visits for the project team, managing calendar availability effectively.
  • CRM Maintenance: Utilize HubSpot (and potentially GoHighLevel or other marketing tools) to track lead status, record call notes, and trigger automated follow-up sequences.
  • Lead Qualification: Filter leads based on the company’s core service areas: Landscape Maintenance, Construction, and Building Works.
  • Collaboration: Work closely with the Projects Coordinator to ensure a seamless handoff from "lead" to "scheduled site scope."

Requirements & Qualifications

  • Minimum 2+ years of experience in appointment setting, telemarketing, or inside sales.
  • Strong hands-on experience with HubSpot. Familiarity with GoHighLevel or similar marketing automation platforms is highly preferred.
  • Exceptional verbal and written English skills with a professional phone manner (experience calling Australian businesses is a plus).
  • Background in construction, landscaping, or trade services is an advantage but not required.
  • Highly organized, self-motivated, and comfortable working in a fast-paced environment where the Director is often in the field.
  • Comfortable working with Excel/Google Sheets to clean and upload lead lists.
