Role Overview

We are seeking a reliable Healthcare Administrative Assistant to support patient coordination and day-to-day administrative operations.

This role focuses on scheduling, patient communication, insurance coordination, and administrative follow-ups, helping ensure smooth operations while the clinical team focuses on patient care.

Schedule

  • Monday–Friday with occasional weekend flexibility 6:00 AM – 10:00 AM EST; 20 hours per week

 Key Responsibilities 

  • Manage patient scheduling and appointment coordination
  • Handle inbound and outbound calls with patients in a professional manner
  • Process medication refill requests and follow up as needed
  • Verify insurance eligibility and assist with prior authorization follow-ups
  • Conduct collection calls and support billing-related communication
  • Manage fax communications and documentation
  • Maintain accurate and up-to-date patient records
  • Support administrative workflows to improve practice efficiency
  • Coordinate patient care logistics and ensure timely follow-ups

Requirements

  • Minimum 1 year of experience in a healthcare or medical administrative role
  • Strong communication skills with a professional and empathetic approach
  • Experience handling patient coordination, scheduling, or medical admin tasks
  • Familiarity with insurance verification and prior authorizations
  • Ability to multitask and manage multiple patient interactions
  • Strong organizational skills and attention to detail
  • Ability to work independently and follow structured processes
  • Spanish-speaking ability is highly preferred

Highly Regarded Skills & Experience

  • Experience in small or outpatient healthcare practices
  • Familiarity with EMR/EHR systems
  • Experience handling billing or collections in a healthcare setting
  • Strong phone-based customer service experience
  • Experience working with U.S.-based healthcare workflows
