Role Overview: Admin Assistant
Schedule- Monday to Friday 8:00am -4:00pm Central Time, Iowa, US.
Responsibilities:
- Sort, categorize, and organize high volumes of emails across three separate inboxes (office, support, and billing)
- Create and maintain a structured folder system to ensure emails are filed into the correct categories (invoices, vendor communications, inquiries, etc.)
- Identify and flag phishing attempts, fraudulent invoices, and suspicious emails to protect company systems
- Unsubscribe from junk mail and eliminate spam to reduce inbox clutter
- Support the consolidation of email accounts by routing inquiries to the central office email
- Assist with additional administrative tasks as business needs evolve, such as data cleansing and spreadsheet management
Requirements:
- Proficiency in Google Workspace, particularly Gmail and Google-based email management
- Strong ability to distinguish between legitimate correspondence, spam, and phishing attempts
- High level of attention to detail when reviewing and categorizing large volumes of emails
- Proactive communicator who asks questions rather than making assumptions
- Strong organizational and time management skills
- Ability to work independently with minimal supervision
Scope:
- Clean up and organize approximately five years' worth of accumulated emails across three accounts
- Establish a sustainable filing and categorization system for ongoing email management
- Transition support email to vendor-only use and consolidate general inquiries into the office email
- Identify opportunities to streamline email workflows and reduce future clutter
- Potential expansion into broader administrative support including data entry and spreadsheet queries
