Administrative Assistant

Overview

Join a dynamic Houston-based legal team as a vital support pillar, managing high-priority master files and critical court documentation. This role offers the opportunity to master specialized legal software like iManage and Omega while ensuring seamless daily operations and deadline compliance for our legal professionals.

Schedule:

  • Monday to Friday, 8:30am to 5pm Central CST with an hour unpaid break (37.5 hours per week)

Responsibilities:

  • Maintain the Houston Master File List by adding newly opened files and removing closed ones based on email confirmations
  • Update team member assignments within the Master File List to ensure accurate case tracking
  • Download and process all e-service and e-filed documents from the central email address daily
  • Name and organize served documents according to established Houston personnel protocols
  • Upload and save all notices to the appropriate iManage workspace folders
  • Distribute PDF copies and iManage links to the specific team members assigned to each case
  • Identify and calendar all critical dates and deadlines found within court notices
  • Perform daily data entry of billable hours, timekeeper names, and narrative descriptions into the Omega platform
  • Assign correct file numbers and task code numbers to billing entries as required by client guidelines
  • Ensure all billing entries follow specific client requirements for proper form and accuracy

Requirements:

  • High school diploma or equivalent; associate's or bachelor's degree preferred
  • Minimum of 2 years of experience in an administrative or clerical role
  • Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook
  • Experience with document management systems, preferably iManage
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks and prioritize effectively
  • Familiarity with time and billing software, preferably Omega, is a plus
  • Strong problem-solving skills and the ability to work independently
  • Discretion and confidentiality in handling sensitive information
  • Ability to work in a fast-paced environment and meet deadlines
  • Strong interpersonal skills and ability to work effectively as part of a team
