Role Overview: Real Estate Virtual Assistant

We are seeking a detail-oriented CRM & Marketing Automation Specialist to manage KV Core/BoldTrail systems, automate campaigns, and maintain accurate real estate data.
This role supports lead generation through expired listings, probate outreach, and consistent CRM optimization.
Ideal candidates are organized, independent, and experienced in real estate workflows with strong attention to detail and communication skills. 

Schedule:

• Flexible 20 hours a week with deadlines and weekly catch-ups during Eastern business hours

Responsibilities:

• Set up and manage automated campaigns, drip sequences, and newsletters within KV Core / BoldTrail to ensure consistent prospect engagement
• Pull, scrub, and enter expired listing data into the CRM on a monthly basis to trigger targeted outreach campaigns
• Manage probate lead outreach by coordinating mailer campaigns and ensuring data is accurately entered into the system
• Configure CRM triggers and automations to systematize the sales pipeline and reduce manual follow-up
• Perform ongoing administrative tasks including data entry, list management, and CRM maintenance
• Support light marketing initiatives such as social media posting as capacity allows

Requirements:

• Strong KV Core experience, and/or BoldTrail CRM platforms
• Strong understanding of real estate workflows including expired listings and probate outreach
• High level of attention to detail, particularly when handling data scrubbing and CRM data entry
• Ability to work independently with minimal supervision and meet recurring deadlines
• Strong organizational and time management skills
• Excellent written communication skills

Scope:

• Part-time, flexible schedule with project-based deadlines rather than fixed hours
• Behind-the-scenes support only; no client-facing calls or active prospecting
• Initial focus on CRM setup and automation, transitioning to ongoing monthly data management and campaign maintenance
• Ongoing long-term engagement with evolving responsibilities as systems are established
• All outreach is non-verbal (mailers, email campaigns); live conversations handled by the client
