Job Description

As a Real Estate Virtual Assistant, you will be responsible for conducting outbound calls to leads, qualifying prospects, and booking listing appointments. You will manage CRM updates, coordinate property showings, and provide administrative support to keep operations running smoothly.

This role requires strong communication skills, organization, and the ability to manage multiple leads and schedules effectively while working independently.

Schedule:  9:00 AM – 12:00 PM Eastern Time , approximately 30 hours per week 

Responsibilities

Lead Generation & Qualification

  • Conduct outbound calls to leads from the CRM
  • Qualify and nurture prospects to generate listing opportunities
  • Engage potential sellers and build rapport through professional communication
  • Maintain consistent follow-up to move leads through the pipeline

Appointment Setting & Scheduling

  • Schedule listing appointments between sellers and the realtor
  • Coordinate property showings and manage calendars efficiently
  • Ensure all appointments are properly confirmed and organised

CRM Management

  • Update CRM with accurate lead status, notes, and follow-up actions
  • Track all prospect interactions and maintain organised records
  • Ensure no leads are missed or left unattended

Administrative Support

  • Provide general administrative assistance to support daily operations
  • Assist in streamlining workflows and communication processes
  • Adapt to the agent’s preferred tools and systems

Requirements

  • Prior experience in real estate or strong understanding of listing and sales processes
  • Excellent verbal communication skills with a confident phone presence
  • Strong organisational and time management skills
  • High attention to detail when managing lead data and schedules
  • Ability to work independently with minimal supervision
  • Comfortable working within CRM systems

Scope & Engagement

  • Part-time role (approximately 30 hours per week)
