Work Schedule:
- Part-time role: 20 hours per week, Monday to Thursday, five hours per day (9:00 AM – 2:00 PM AWST)
Responsibilities:
- Monitor and manage the main business email account, processing incoming enquiries and purchase orders in a timely manner
- Create internal work orders from incoming PDF orders and maintain accurate records within Trello
- Generate invoices and reconcile payments in Xero across multiple business entities
- Coordinate shipping logistics by obtaining dimensions, comparing rates through the third-party shipping portal, and arranging the most cost-effective option
- Produce and upload shipping labels into the Trello workflow system to ensure seamless order tracking
- Support the gradual expansion of admin duties across additional business entities as the role matures
Requirements:
- Demonstrated experience with Xero for invoicing and payment reconciliation
- Familiarity with Trello or similar project management tools for workflow tracking
- Strong English communication skills, both written and verbal
- High level of attention to detail when handling orders, invoices, and shipping documentation
- Ability to work independently and manage tasks across multiple business entities with minimal supervision
- Prior experience supporting Australian businesses is advantageous
Scope:
- Approximately 20% bookkeeping and 80% administrative and shipping coordination tasks
- Supporting approximately 12 invoices per week across the primary entity, with scope to expand across additional businesses
- Potential to scale to full-time hours as the business grows and additional entities are onboarded
- Opportunity to gradually take on more bookkeeping responsibilities currently handled by a local Australian bookkeeper
