Overview:

We are a growing health and wellness business seeking a detail-oriented Operations Assistant to support daily operations. You'll play a key role in order fulfillment, customer support, and partner coordination—managing support tickets, tracking deliveries, and maintaining system accuracy.

Schedule:

• Mondays to Fridays, 9:00 am to 6:00 pm (Australian Eastern Time), including 1-hour unpaid break (40 hours per week)

Key Responsibilities:

• Manage and resolve incoming customer support tickets promptly to maintain high patient satisfaction
• Coordinate with compounding pharmacy partners to ensure timely and accurate order fulfillment
• Monitor pharmacy SLAs and escalate issues such as damaged products, returns, or delivery delays
• Track delivery statuses and update customers throughout the fulfillment process
• Maintain accurate records through data entry and system updates
• Provide general administrative and operational support as needed
• Assist with ad hoc tasks during peak periods to support the wider team

Requirements:

• Proven experience in customer support, order fulfillment, or operations administration
• Proficiency in HubSpot CRM (tickets, contacts, workflows)
• Strong written and verbal communication skills with a professional and empathetic tone
• Close attention to detail, especially when handling sensitive or patient-related information
• Ability to work independently and take initiative without constant supervision
• Flexible and willing to work occasional overtime or weekends when required
