Job Overview

Our client is looking for a detail-oriented Administrative Assistant to provide back-office support to the account management team. This role will focus on task management, meeting coordination, and administrative follow-up to help the team stay organized and focused on client-facing work. The ideal candidate will be proactive in reviewing meeting notes, creating actionable tasks, and ensuring timely completion of deliverables.

Client Overview

Our client is a growing marketing and client services agency that manages multiple client accounts and digital marketing campaigns. The team works collaboratively across different time zones to deliver comprehensive marketing solutions including landing pages, content creation, and ongoing client support.

Schedule

  • Monday - Friday, 9:00 AM - 1:00 PM ET (20 work hours per week)

Responsibilities

  • Review AI-generated meeting notes from client calls and identify action items for various team members.
  • Create and assign tasks in Asana with appropriate team members, deadlines, and clear descriptions.
  • Follow up on assigned tasks to ensure completion and notify the account management team of progress updates.
  • Coordinate meeting schedules by managing calendar availability and confirming appointments with stakeholders.
  • Conduct preliminary research for sales calls including gathering website information, Google listing pages, and other relevant client data.
  • Support invoice follow-up and basic administrative data entry tasks as needed.
  • Compile and organize information for client reports and presentations.

Requirements

  • Proven experience using Asana or similar project management platforms for task creation and tracking.
  • Professional written and verbal communication skills.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Demonstrated ability to work independently with minimal supervision in a remote environment.
  • Experience supporting account managers or client-facing teams.
  • Familiarity with marketing terminology and digital marketing workflows.
  • Experience with basic data entry for invoicing or accounts payable processes.
  • Background in preparing client-facing reports or documentation.
