Job Overview
Our client is looking for a proactive and organized Real Estate Admin Assistant to serve as the primary point of contact for vendor and contractor communications. The goal of this role is to support the business owner in offloading day-to-day administrative tasks, reducing workload, and laying the groundwork for scaling the virtual team as the business grows.
Schedule

Monday - Friday, 11:00 AM - 3:00 PM EST (20 work hours per week)
Responsibilities
- Manage email, calendar, and CRM to keep daily operations organized and on track
- Answer calls and proactively follow up with clients, vendors, and contractors on time-sensitive matters
- Coordinate with on-site contractors to relay scheduling changes, project updates, and basic instructions
- Upload, schedule, and post pre-created social media content and respond to incoming inquiries
- Take meeting minutes, book travel, and handle document preparation and filing
- Identify workflow inefficiencies and proactively suggest process improvements to the business owner
Requirements
- Strong verbal and written communication skills with confidence in phone-based interactions
- Proven administrative or customer support background with the ability to work independently
- High level of attention to detail and organizational skills
- Proactive mindset with the ability to anticipate needs and flag issues before they escalate
- Spanish-speaking ability at a conversational level is preferred but not required
- Comfortable handling sensitive financial and personal data with discretion
