Sales Operations & Design Specialist

Schedule: Monday to Friday between 9:00 AM to 6:00 PM BST with a 1-hour unpaid break (8 hours per day/40 hours per week)

Responsibilities
  • Coordinate with the sales team to prepare proposals, check inventory availability, and ensure client requirements are met.
  • Use Figma to create high-quality mockups, site visualizations, and presentation assets that bring outdoor advertising campaigns to life.
  • Handle the "nitty-gritty" of the sales cycle, including preparing sales invoices, setting up new suppliers, and maintaining financial records.
  • Proactively use AI tools (generative design, text-to-image, or automation) to speed up the creation of pitch decks and internal workflows.
  • Maintain meticulous records of client contracts, marketing lists, and campaign performance data.
  • Act as a professional point of contact for inquiries via email, chat, or video, ensuring a seamless experience from onboarding to execution.
  • Assist in scheduling meetings and coordinating between departments to ensure timely campaign launches.

Requirements
  • Intermediate to advanced confidence with Figma. You should be comfortable building layouts, editing components, and exporting assets for digital use. APPLICATIONS WITH PORTFOLIOS WILL BE PRIORITIZED
  • Experience with invoicing, supplier setup, and basic financial administration.
  • High proficiency in G-Suite and a genuine enthusiasm for incorporating AI tools into your daily workflow to increase efficiency.
  • Strong written and verbal English skills with the ability to explain technical or design concepts clearly.
  • A meticulous approach to data entry and contract management; you take pride in "zero-error" outputs.
  • The ability to pivot from a creative design task to a structured administrative task without losing momentum.

Highly Regarded Skills and Experience
  • Prior experience in OOH (Out-of-Home) or Digital Advertising agencies.
  • Experience with Xero or similar cloud-based accounting software.
  • Knowledge of presentation tools like Google Slides or Canva for rapid deck building.
  • A portfolio or examples of work created using Figma or AI-assisted design tools.
