Finance Operations Lead (Xero)

Job Overview

Our client is looking for a professional to act as the operational control layer of the finance team. This role is responsible for supervising Accounts Assistants and ensuring all AP and AR activities are completed accurately, timely, and in line with company SOPs. This role owns all reconciliations and acts as the quality control function before escalation to the senior accountant.

Schedule

  • Monday - Friday, 9:00 AM - 5:00 PM AEST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

AP & AR Supervision

  • Oversee daily processing of invoices and bills
  • Ensure no backlog in AP or AR activities
  • Review all entries prepared by Accounts Assistants
  • Ensure invoices are issued and closed out daily

Reconciliation Ownership

  • Perform and finalize daily and monthly bank reconciliations
  • Reconcile credit cards, fuel cards, toll accounts, and supplier accounts
  • Reconcile customer accounts and aged receivables
  • Investigate and resolve discrepancies
  • Maintain reconciliation schedules and supporting documentation

Cashflow & Monitoring

  • Monitor payables and receivables daily
  • Track supplier due dates and prevent missed payments
  • Support collections and overdue account follow-ups
  • Escalate risks affecting cashflow

Internal Controls & Process Discipline

  • Ensure adherence to SOPs
  • Enforce segregation of duties
  • Review transactions for accuracy and completeness
  • Monitor for irregularities or suspicious activity

Automation & Workflow Improvement

  • Identify process inefficiencies
  • Implement Xero automation rules
  • Improve workflow efficiency and turnaround times

Requirements

  • 3–5 years of experience supporting Australian accounting functions
  • Strong understanding of AP and AR workflows
  • Strong Xero proficiency
  • Strong Microsoft Excel skills
  • Experience reconciling high-volume accounts
  • Experience implementing structured finance workflows
  • Strong attention to detail and organizational discipline
  • Strong awareness of fraud risks and internal controls
  • Experience with Australian tax and accounting standards
  • Strong proficiency in Xero as the primary accounting platform
  • Ability to navigate multiple systems and software tools
  • Daily reconciliation, discipline, and a no-backlog environment
  • Strong focus on deadlines, accuracy, and accountability
  • Experience with automation tools is highly regarded
  • Ability to contribute to workflow improvement initiatives
  • Strong commitment to optimizing cash flow and financial processes
