Executive Assistant (Operations & Content Project Manager)

About the job 

You will be the right hand to the founder of a fast-growing consulting firm that helps mid-market companies find and recover millions in preventable workforce costs. You will free him from everything that is not a revenue-generating
conversation.

This is not a task-taker role. You will own entire systems and run them without being managed. If something breaks, you surface it. If something can be done better, you suggest it. You work directly with the founder daily. We want someone who brings their own ideas, acts proactively, and takes ownership without waiting to be told. 

Schedule:

  • Monday to Friday, Flexible from 5:00 AM to 5:00 PM Chicago, Central Time (8 hours per day / 40 hours per week), with overlap during 8:00 AM to 12:00 PM Central Time

What You Own:

  • Google Drive: organized, maintained, always current
  • Client engagement tracking: maintain a living tracker from first prospect conversation through delivery milestones, ensuring nothing falls through the cracks. Includes vendor and partner coordination: schedule calls, send follow-up emails, and track deliverables with partners. Ideal if you have a tool you have used.
  • CRM management: all contacts loaded, tagged, action items tracked, pre-meeting briefs prepared
  • Social media program: own the full content pipeline across LinkedIn, YouTube, TikTok, and Instagram. Draft posts in the founder's voice, edit short-form video in CapCut, Google Vids, or similar, schedule and publish and track performance weekly
  • Sales decks: research prospects, build tailored pitch decks in Google Slides, Gamma, or Canva for each target company
  • Website updates: Hosted with Hostinger (basic HTML using Claude, if you can use Claude you can do this.)
  • Meeting prep and follow-up: prepare agendas before calls, capture notes and action items after, update CRM and tracker same day
  • Reporting: real time dashboard of pipeline status, content performance, and open action items delivered every Monday

Hard Skills (please share examples or portfolio links demonstrating each):

  • Excellent written English: share a writing sample in a professional or executive voice
  • Social media and LinkedIn content creation: share examples of posts or campaigns you have managed (APPLICATIONS WITH PORTFOLIOS WILL BE PRIORITIZED)
  • Project management: show a tracker, dashboard, or system you built to manage multiple clients or workstreams
  • Client engagement tracking: show how you have tracked a deal or project from first contact through delivery
  • CRM management: share which platforms you have used and how you organized contacts and pipelines
  • Google Workspace proficiency: Drive, Gmail, Calendar
  • Research and intelligence gathering: share an example of prospect research or competitive analysis you produced
  • AI tools (Claude, ChatGPT): show how you have used AI to draft content, accelerate research, or build workflows
  • Website management: share an example of a site you have updated (text, images, basic HTML)
  • Sales deck building: share a deck you created in Google Slides, Gamma, Canva, or similar

Soft Skills:

  • Extreme attention to detail and accuracy in all work
  • Assertive and Self-starter who brings their own ideas and acts proactively without waiting to be told
  • Proactive communication: surface blockers immediately, do not wait
  • Comfortable writing in someone else's voice and matching their tone
  • Experience supporting a founder or C-level executive
  • Flexible and comfortable with shifting priorities in a startup environment
  • Comfort with automation processes (using AI to automate research, articles, outreach, etc.)

Side Note

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits. Professional hourly fees are established based on your performance in the application process.
