Collections Specialist

Job Description:

A Collections Specialist is responsible for managing client accounts, ensuring accurate record-keeping, and maintaining strong client relationships.

Client Overview:

A healthcare-focused organization led by its CEO oversees a portfolio of five distinct medical businesses operating across multiple sectors, including medical finance, pain management, chiropractic care, and neurosurgery. These companies provide a range of services spanning administrative support and clinical specialties. The business leverages a distributed workforce with approximately 30 outsourced team members based in South America—including Nicaragua, Colombia, and Venezuela—who support functions such as billing and finance.

Schedule:

  • Mondays to Fridays, 8:30 am to 5:30 pm (US Eastern Time, 40 hours per week)

Key Duties:

  • Tracking and updating client files using the CRM system.
  • Contacting clients via phone and email to gather updates and follow up on outstanding balances.
  • Recording all communications and financial data accurately.
  • Reconciling external financial records with internal data for accuracy.
  • Collaborating with the internal team to address client needs.
  • Providing excellent customer service and assisting with administrative tasks as needed.

Requirements:

  • Experience with CRM systems for tracking and updating client files.
  • Strong communication skills for contacting clients via phone and email.
  • Attention to detail to accurately record communications and financial data.
  • Ability to reconcile external financial records with internal data.
  • Team player who can collaborate with internal teams to address client needs.
  • Excellent customer service skills and the ability to handle administrative tasks.
  • Basic knowledge of accounting or finance is a plus.
  • Strong organizational and time management skills.
