Job Overview

We are seeking a highly organized, proactive, and creative Events Operations & Admin Coordinator to support a growing events business. This role is ideal for someone with experience in administration, customer support, events coordination, and basic graphic design who thrives in a fast-paced environment and enjoys balancing multiple responsibilities across operations, client communication, marketing, and financial administration.

You’ll play a key role in ensuring seamless event execution while also supporting promotional efforts through engaging visual content and digital updates.

Key Responsibilities

Operations & Administration

  • Maintain and update the company website (WordPress, Wix, or Squarespace), ensuring all content is accurate, current, and aligned with business needs
  • Manage inbound email inquiries related to events, bookings, and general questions with timely and professional responses
  • Support client communication throughout the booking process to ensure a seamless and positive customer experience
  • Process, code, and track supplier invoices accurately to support financial administrative processes
  • Assist with event coordination tasks, including scheduling, logistics, and internal follow-ups
  • Maintain organized records of bookings, communications, and financial data
  • Handle multiple priorities while maintaining attention to detail and meeting deadlines
  • Provide general administrative support to ensure smooth day-to-day operations

Events Marketing & Creative Support

  • Design a full set of graphics for each in-house event (various formats and sizes)
  • Create PowerPoint visuals for display on TV screens promoting events and announcements
  • Build and publish event listings on ticketing platforms (e.g., Ticket Tailor), including copy and graphics
  • Add and update events on the company website 
  • Design menus for events and restaurant offerings
  • Create posters and signage for in-house promotions and event advertising
  • Develop Facebook events with appropriate links and engaging descriptions using company accounts
  • Produce graphics and edited images for paid social media campaigns
  • Design flyers for print distribution when needed
  • Create event signage and branded materials
  • Support website updates with new copy and images as required

Requirements

  • 4+ years of experience in administration, customer support, events coordination, or a similar role
  • Strong written and verbal communication skills with a professional client-facing approach
  • Proven ability to manage multiple tasks in a fast-paced environment
  • High attention to detail, especially in invoicing, financial data, and record-keeping
  • Experience managing website content (WordPress, Wix, Squarespace, or similar)
  • Basic understanding of invoicing, expense coding, and finance-related admin tasks
  • Proficiency in Google Workspace, Microsoft Office, and email platforms
  • Experience with graphic design tools (e.g., Canva, Adobe Suite, or similar)
  • Strong organizational and time management skills
  • Ability to work independently, take initiative, and solve problems proactively
  • Creative mindset with the ability to produce engaging visual content
  • Reliable, accountable, and detail-oriented
