Job Overview

We are seeking a highly organized and proactive Admin Assistant to provide comprehensive support to a busy professional. In this role, you will act as a central point of contact and a dedicated "right hand," managing a blend of executive-level administrative tasks and personal lifestyle management. Your goal is to maximize the client’s efficiency by streamlining their schedule, handling complex logistics, and ensuring that both business and personal obligations are met with precision and discretion.

Schedule

Monday - Friday, 9:00 AM - 6:00 PM GMT, with 1 hour unpaid break

Responsibilities

  • Manage the client's calendar, schedule appointments, and set reminders.
  • Coordinate travel arrangements, including flight bookings, hotel reservations, and transportation.
  • Conduct online research on various topics as directed and provide concise summaries.
  • Assist with occasional business tasks, ensuring they align with the client's objectives.
  • Manage and organize personal documents, ensuring confidentiality.
  • Handle online errands, including shopping, bill payments, and reservations.
  • Liaise with other staff members, vendors, and service providers to ensure seamless operations.
  • Assist in planning and organizing personal events or family gatherings.
  • Handle sensitive personal information with discretion and ensure data protection.
  • Provide daily or weekly reports on completed tasks and upcoming schedules.

Requirements

  • Proven experience as a personal assistant or in a similar role.
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in MS Office Suite, especially Excel and Outlook.
  • Ability to adapt to changing priorities and multitask effectively.
  • Discretion and confidentiality are paramount.
  • Technical proficiency, including familiarity with G-suite and other online tools.
  • A proactive approach to tasks, with the ability to work independently.

Qualifications

  • Previous experience or interest in the events field is ideal but not mandatory.
  • Experience in customer service or client relations.
  • Ability to handle financial tasks, such as budgeting or expense tracking.
  • Familiarity with travel planning and coordination.
  • Experience in event planning or coordination.

Side Note

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
