Client Overview

A fast-growing SAT preparation company that’s helping students achieve their college dreams through personalized one-on-one tutoring programs. With 90 active students and a network of 30+ tutors, they’re scaling rapidly and making a meaningful impact on students’ academic journeys. The company operates a dynamic, results-driven environment where weekends are the busiest period due to high student demand.

Schedule

  • Wednesday - Sunday, 9:00 AM - 6:00 PM Pacific Time, with 1 hour paid break (40 work hours per week)

Responsibilities

  • Own the complete student onboarding process, including platform setup, game plan distribution, and Airtable record management
  • Manage all parent communications through GoHighLevel, including welcome sequences, progress updates, and tutor introductions
  • Coordinate tutor-student matching within 4-hour timeframes based on schedule compatibility and subject expertise
  • Create and manage recurring Zoom meetings and Google Calendar invites for all tutoring sessions
  • Process reschedule requests immediately and coordinate seamlessly between tutors and parents
  • Track student progress and hours completion to ensure program compliance and prevent overuse
  • Conduct weekly tutor performance reviews and take action on underperforming team members
  • Handle session no-shows proactively and implement preventive measures to minimize disruptions
  • Generate comprehensive weekly program status reports and send progress updates to parents
  • Identify upsell and referral opportunities based on student progress and parent feedback

Requirements

  • Fluent English communication skills for conducting hiring interviews and parent interactions
  • Executive Assistant experience supporting C-suite executives with high-level decision making and ownership mentality
  • Strong organizational skills to manage 90+ students and 30+ tutors simultaneously
  • Proficiency with CRM systems and project management tools
  • Customer service experience with ability to handle parent communications professionally
  • Accountability-focused approach with no excuse-making mentality
  • Bonus if you have experience with GoHighLevel, Airtable, or Slack
  • Experience with hiring and onboarding for conducting interviews is preferred

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
