Project & Accounting Administrative Assistant

Job Description:

You’ll be the organizational backbone of a thriving construction business, freeing up the owner to focus on client relationships and core business development. This role offers the perfect blend of business and personal administrative support, where your attention to detail and system-building skills will streamline operations across multiple active projects. You’ll work directly with the business owner in a collaborative environment that values efficiency and clear communication.

Client Overview:

Join a dynamic construction company specializing in small-scale projects and insurance restoration work. This growing business manages multiple concurrent projects using a network of skilled contractors, creating an exciting environment where your organizational skills will directly impact operational efficiency and client satisfaction.

Schedule:

  • Mondays to Fridays, 9:00 am to 5:00 pm (Australian Eastern Time, 40 hours per week)

Responsibilities:

  • Manage invoicing processes for multiple concurrent construction and insurance projects
  • Handle client email communications and coordinate timely responses
  • Serve as liaison between business owner and external accountant for bookkeeping inquiries
  • Implement and maintain organizational systems using project management tools
  • Coordinate QuickBooks-related tasks and financial documentation
  • Manage personal administrative tasks, including appointment scheduling
  • Handle personal correspondence and email management as needed
  • Support general administrative functions to optimize the owner’s time allocation
  • Assist with contractor coordination and project communication workflows

Requirements:

  • Excellent written and verbal English communication skills
  • Proven experience with Asana project management software
  • Hands-on experience with the QuickBooks accounting platform
  • Strong organizational abilities and attention to detail
  • Ability to manage multiple projects and priorities simultaneously
  • Professional email communication and customer service skills
  • Bonus if you have experience in construction, trades, or service-based industries
  • It helps if you’re comfortable handling both business and personal administrative tasks
