Role Overview

We are looking for a highly organized and proactive Admin Assistant (Ticketing & Bookings) to support our international touring operations. This role plays a key part in the successful planning and execution of live events, covering venue bookings, tour routing, and end-to-end ticketing coordination.

The ideal candidate is detail-oriented, numerically confident, and comfortable building relationships, with a strong interest in logistics and the live events industry.

Schedule: Mon - Fri, 10:00 am to 7:00 pm, (with 1-hour unpaid break), 40 hours per week 

Client Timezone: London, UK, BST/GMT (aligned with London business hours)

Key Responsibilities
Bookings, Routing & Advancing

  • Liaise with domestic and international venues to check availability, secure holds, and confirm bookings
  • Assist in planning efficient and cost-effective tour routes
  • Prepare and manage show and tour budgets to ensure profitability
  • Draft, issue, and assist in negotiating performance contracts with artists and venues
  • Coordinate show advancing, including technical requirements, travel logistics, and accommodation arrangements

Ticketing & Customer Service

  • Set up and manage event listings across ticketing platforms (e.g., Ticketmaster, DICE, Eventbrite)
  • Monitor ticket sales and provide regular performance updates
  • Act as the main point of contact for customer enquiries, including ticket transfers and refunds
  • Manage guest lists, artist allocations, press tickets, and assist with final settlements

CRM & Administration

  • Maintain and update CRM systems to track venues, artists, agencies, and customer data
  • Ensure all internal systems, databases, and trackers are accurate and up to date
  • Provide general administrative support for event coordination and touring operations

Qualifications & Requirements

  • Experience: Previous experience in live music, events, booking, or touring is highly desirable; strong logistics or coordination experience is an advantage
  • Technical Skills: Proficiency in CRM tools (e.g., HubSpot, Salesforce, Airtable) and strong Excel or Google Sheets skills
  • Communication: Excellent written and verbal English communication skills, with the ability to build relationships and deliver high-quality customer service
  • Problem-Solving: Ability to work under pressure, adapt quickly, and resolve issues efficiently

Training & Development

We understand that not all candidates will have direct experience in live music or ticketing systems. Comprehensive training will be provided for candidates who demonstrate strong organizational skills, a willingness to learn, and a positive attitude.

  • This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection, and are responsible for their own taxes and benefits.
