Job Overview
The Sales Team Administrative Assistant serves as the operational backbone of our Enrollment Team. This role is designed to be the "friction remover" for our sales cycle, ensuring seamless coordination across scheduling, onboarding, and compensation tracking. Your primary goal is to handle the administrative complexities of the sales process so that our setters, closers, and leadership can remain laser-focused on revenue generation.

Key Responsibilities

Operational Support: Act as the central point of contact for the Enrollment Team, managing day-to-day administrative tasks.

Scheduling Coordination: Manage and optimize calendars via Oncehub to ensure no lead is left unassigned and no meeting is missed.

CRM Management: Maintain and update lead records within Keap, ensuring data integrity for the entire sales pipeline.

Onboarding & Compensation: Facilitate the transition of new clients through the onboarding process and assist in tracking sales commissions and compensation metrics.

Communication Flow: Monitor and manage outbound/inbound communication logs using Justcall and Google Workspace tools.

Process Improvement: Identify bottlenecks in the sales workflow and suggest automated or manual solutions to increase team efficiency.
Requirements

Technical Proficiency: High level of comfort with the following platforms is essential:
- Google Workspace: (Drive, Sheets, Docs, Calendar)
- Oncehub: Expert-level scheduling and booking management.
- Keap (Infusionsoft): Strong understanding of CRM workflows and lead tagging.
- Justcall: Experience managing cloud-based phone systems and call logs.

Sales Literacy: A solid understanding of the sales funnel (setters vs. closers) and the administrative needs of a high-performing enrollment team.

Detail-Oriented: Ability to track complex compensation structures and client data with 100% accuracy.

Self-Managed: Since this role offers a flexible schedule, you must be a disciplined self-starter who can meet deadlines without constant supervision.
