Our client is looking for a highly organized, proactive, and professional Executive Assistant to support the Owner–Clinical Director of a growing mental health practice. This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities simultaneously, and takes initiative to anticipate needs and ensure tasks are completed with accuracy and urgency.
The Executive Assistant will provide both professional administrative support and personal executive assistance, ensuring smooth day-to-day operations. This role requires strong follow-through, excellent communication, and the ability to manage confidential information with discretion.

Responsibilities
Executive Support
- Provide direct administrative support to the Practice Owner–Clinical Director
- Conduct daily check-ins to review priorities and ongoing projects
- Track tasks and ensure timely completion without repeated follow-ups
- Provide daily progress updates on tasks and deliverables
- Anticipate needs and proactively resolve issues
Practice Operations
- Coordinate daily operations to ensure efficient workflow
- Communicate with therapists, billing teams, and external partners
- Monitor insurance communications and billing follow-ups
- Assist with staff onboarding, scheduling, and coordination
- Maintain organization across systems, documentation, and records
Administrative Support
- Manage calendars, appointments, and meetings
- Track deadlines and ensure timely execution of tasks
- Maintain secure and organized records (including sensitive information)
- Assist with documentation, reports, and correspondence
Follow-Up & Accountability
- Maintain structured tracking systems for tasks and projects
- Follow up consistently with internal and external stakeholders
- Ensure no tasks fall through the cracks
- Provide end-of-day updates on completed and pending items
Operational Continuity
- Document processes to ensure continuity during absences
- Coordinate coverage when needed
- Communicate schedules, availability, and workflow updates clearly
Personal Executive Assistance
- Assist with personal scheduling, travel coordination, and logistics
- Support personal administrative tasks that improve overall productivity
Requirements
- Proven experience in administrative support, Executive Assistant, or similar role
- Experience in healthcare, mental health, or professional services (MUST)
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- High attention to detail and strong follow-through
- Ability to handle confidential information with discretion
- Proactive mindset with strong problem-solving skills
- Comfortable working with multiple systems and digital tools
- Strong time management and sense of urgency
- Ability to work independently in a fast-paced environment
Nice to Have
- Familiarity with medical or therapy practice management systems
- Experience with billing or insurance coordination
- Background as an Executive Assistant, Operations Coordinator, or Practice Manager
