Job Overview
You’ll be the organizational force behind a multi-business operation, bringing order and efficiency to a fast-paced entrepreneurial environment. This role offers incredible variety as you’ll manage diverse business operations across education, coaching, and personal life management. You’ll have the autonomy to implement systems and processes while gaining exposure to multiple industries and business models. The ideal candidate thrives in dynamic environments and takes pride in being the reliable foundation that keeps everything running smoothly.
Schedule: Full-time (40 hours per week); 7:00 AM – 6:00 PM Eastern Time; 1-2 hours on weekends initially (will reduce as systems are established)

Responsibilities
- Manage and coordinate four different calendars across multiple businesses and personal commitments
- Contact clients and vendors on behalf of the business owner for academy and coaching operations
- Handle budget management and financial coordination across business entities
- Schedule appointments and maintain organized systems for all business operations
- Keep operations running seamlessly during the business owner’s absence
- Provide proactive support by anticipating needs and staying ahead of requirements
- Implement and maintain organizational systems to streamline processes
- Coordinate between different business operations to ensure smooth workflow
Requirements
- Exceptional scheduling and organizational skills with experience managing multiple calendars
- Strong communication skills for professional client and vendor interactions
- Ability to work at high speed and match the pace of a fast-moving entrepreneur
- Proactive mindset with ability to anticipate needs and solve problems independently
- Previous virtual assistant experience preferred
- Bonus if you have construction industry experience or familiarity with construction terminology
- It helps if you’ve worked with entrepreneurs or multi-business operations before
