Job Description:
You’ll become the organizational backbone for a dynamic construction business, taking ownership of critical administrative functions that directly impact project success and team efficiency. Client Overview:
A growing UK construction company managing skilled field teams and complex project operations. They’re expanding their use of modern systems like Xero and Monday.com while maintaining hands-on oversight of certifications, materials, and project costs. The business owner is ready to delegate administrative responsibilities to focus on growth and operations.
Schedule:
- Mondays to Fridays, flexible hours (UK Time, 20 hours per week)

Responsibilities:
- Monitor and update skill matrices for field staff, tracking certifications and alerting management when renewals are due
- Input material costs and quantities into project costing schemes to track spending efficiency across jobs
- Create and manage invoicing elements within the accounting system
- Prepare and send purchase orders to suppliers for required equipment and materials
- Track material usage (pipes, equipment, etc.) across projects to analyze efficiency and identify cost savings
- Maintain organized digital filing systems for all project documentation and paperwork
- Update project management systems with relevant administrative data and progress tracking
- Support the expansion of Monday.com usage as the business grows its project management capabilities
Requirements:
- 2-3 years of administrative experience, preferably supporting UK-based companies
- Strong proficiency in Excel and general computer skills for data management and reporting
- Experience with Xero accounting software (bonus if you’ve handled invoicing and basic bookkeeping)
- Familiarity with the Monday.com project management platform (it helps if you’ve used similar tools)
- Construction or trades industry background (helpful but not required – training provided)
- Excellent attention to detail and organizational skills for managing multiple project data streams
- Ability to work independently with minimal supervision once trained
- Reliable internet connection and personal equipment for remote work
