Our client is looking for a highly organized and personable assistant to support the daily operations of a growing, luxury med spa and dental practice. This role is a unique hybrid of high-end patient coordination, executive administration, and digital marketing execution. You will be the primary point of contact for patients, ensuring a seamless experience from the first text inquiry to post-treatment aftercare, while also serving as a creative engine for the brand’s social media presence.

Schedule
- Monday – Friday, 10:00 AM – 3:00 PM San Diego, CA, Pacific Standard Time (25 hours per week)

Responsibilities
- Patient Coordination: Manage all client communication via text and email; handle complex scheduling and rescheduling through Boulevard and Weave systems.
- Lead Nurturing: Capture and guide new leads into virtual consultations and conduct pre-assessments for prospective patients.
- Aftercare & Support: Respond to patient inquiries post-procedure and escalate medical concerns to providers when necessary.
- Social Media Execution: Edit and repurpose short-form video content (Instagram Reels, TikTok) using provided footage and CapCut/Canva; manage content libraries for "before and after" transformations.
- Marketing Support: Schedule posts across platforms and respond to social media inquiries to convert followers into consultations.
- Executive Administration: Provide day-to-day business support, maintain organized digital records, and assist with process improvements to maximize provider efficiency.
Requirements
- 2+ years of experience in customer service, administration, or a client-facing role.
- Digital Proficiency: Proven experience managing or supporting social media accounts (Instagram, TikTok) and using video editing tools like CapCut or Canva.
- Communication Mastery: Strong written skills for professional email, messaging, and luxury brand interactions.
- Technical Literacy: Ability to learn and navigate web-based booking and CRM systems quickly.
- Compliance: Basic understanding of HIPAA compliance and patient privacy standards.
Qualifications
- Previous experience in a med spa, dental, or luxury healthcare environment (Highly Regarded).
- Experience with Boulevard or Weave booking systems (Preferred).
- A strong eye for aesthetic branding, content trends, and luxury "visual storytelling" (Preferred).
- Self-starter mindset with the ability to manage operational workflows independently.

This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own reliable computer and high-speed internet connection, and are responsible for their own taxes and benefits.
