Job Overview
We are hiring full-time Clinical Operations Assistants to work directly alongside the Clinical Operations Manager and team. These roles serve as the operational backbone of provider and nurse staffing—owning everything from sourcing and recruiting through full system onboarding, real-time session monitoring, and nurse scheduling.
You will handle sensitive information, work across multiple platforms, and be expected to operate with a high degree of independence, accuracy, and follow-through.
This is not a passive admin role. You will be embedded in the daily rhythm of clinical operations and directly responsible for keeping the staffing pipeline moving, onboarding compliant, and sessions running on time.
Schedule: Mon-Fri 8am-5pm EST

Role Breakdown
We anticipate structuring these positions as follows, though responsibilities may evolve as the team scales:
Role A: Recruiting, Onboarding & Systems
Primary focus: sourcing, screening, onboarding, and system setup
- Source candidates through LinkedIn and other job platforms for various clinical roles
- Review applications, screen against role requirements, and maintain pipeline metrics
- Schedule interviews and coordinate with candidates
- Maintain a consistent pipeline of nurses—track hiring needs and follow up proactively
- Execute full onboarding for providers and registered nurses, including:
- Creating email accounts and sending welcome communications
- Adding team members to internal platforms (Slack, etc.)
- Collecting and organizing licenses and credentials
- Enrolling candidates in security and HIPAA training
- Completing system setup checklists end-to-end
- Maintain onboarding documentation and update SOPs as processes evolve
- Handle sensitive personnel information with strict confidentiality
Role B: Monitoring, Scheduling & Real-Time Operations
Primary focus: session monitoring, nurse scheduling, and real-time operational support
- Monitor sessions to ensure providers and patients join as scheduled
- Track attendance and escalate no-shows or issues in real time
- Manage nurse scheduling to ensure proper coverage across all time blocks
- Coordinate and confirm interview schedules
- Track and report attendance, no-show rates, and scheduling gaps
- Support day-to-day operations (dashboards, trackers, follow-ups)
- Coordinate with recruiting team members for smooth handoffs from hiring to scheduling
Qualifications
- 2+ years of experience in a virtual assistant, administrative, or operations support role
- Experience with candidate sourcing tools (LinkedIn, job boards, etc.)
- Strong organizational skills and high attention to detail
- Comfortable working across multiple systems (email, messaging apps, scheduling tools, compliance platforms)
- Excellent written and verbal English communication skills
- Self-starter with strong initiative and follow-through
- Ability to handle confidential information with discretion
- Experience in healthcare operations or clinical staffing is a strong plus; A big plus — if you hold both a US and a Philippine RN license
- Availability to work US business hours, including some weekend or on-demand coverage (especially for Role B)
Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
