Overview

We are looking for a highly detail-oriented and process-driven Contract & Deal Operations Specialist to serve as a critical quality control layer across our Sales, Operations, and Legal workflows.

In this role, you will ensure that every contract accurately reflects finalized deal terms and that all internal deal records remain precise, consistent, and audit-ready. You will play a key role in protecting revenue, minimizing risk, and improving operational efficiency by catching discrepancies before they become issues.

Schedule: Monday through Friday, 9:00 AM to 6:00 PM Pacific Time (40 hours per week, 8 hours per day plus a 1-hour unpaid break)

Key Responsibilities

Contract Review & Quality Assurance

    • Review contracts prior to signature to ensure full alignment with approved deal terms, including:
      • Payment structure and amounts
      • Scope of work and deliverables
      • Timelines, milestones, and deadlines
      • Fees, commissions, and revenue splits
    • Cross-check contracts against source materials (CRM records, internal communications, and deal documentation)
    • Identify and flag discrepancies, missing terms, or inconsistencies
    • Partner with Sales, Talent Managers, and Legal to resolve issues quickly and accurately
    • Ensure contracts are error-free before submission for signature

Deal Operations & Data Integrity

    • Maintain accurate and complete deal records in CRM systems (e.g., HubSpot, Salesforce)
    • Ensure all records reflect final negotiated terms and are properly staged and categorized
    • Audit CRM data against executed contracts to ensure consistency across systems
    • Identify, investigate, and resolve discrepancies between CRM, project management tools, and invoicing systems
    • Uphold strong data governance and system integrity standards

Process Improvement & Operational Support

    • Develop and maintain standardized QA checklists for contract and deal validation
    • Recommend and implement improvements to contract workflows and data tracking processes
    • Assist in building SOPs and documentation for deal and contract management
    • Support internal audits related to contracts, billing, and revenue tracking
    • Contribute to building scalable, efficient operational processes

Qualifications

    • 2–5+ years of experience in deal operations, contract administration, revenue operations, or similar roles
    • Strong attention to detail with a proven ability to catch inconsistencies and errors
    • Experience reviewing or supporting contracts (QA, validation, or drafting support)
    • Hands-on experience with CRM platforms (e.g., HubSpot, Salesforce)
    • Comfortable working across multiple tools (Google Sheets, project management platforms, invoicing systems)
    • Strong communication skills with the ability to collaborate across teams

Nice-to-Have

    • Experience in agencies, creator economy, or marketing/advertising environments
    • Exposure to deal desk, finance operations, or legal coordination
    • Experience handling high-volume contracts or transactions
    • Familiarity with revenue tracking and commission structures

Success Metrics

    • High percentage of contracts sent without errors
    • Reduction in post-signature corrections or disputes
    • Accuracy and completeness of CRM deal records
    • Turnaround time for contract reviews and QA
    • Improved consistency across systems and documentation

Example Task

Review a $75K brand deal contract and validate that all payment terms, deliverables, timelines, and fees match the CRM record and internal communications. Identify and resolve any discrepancies before the contract is sent for signature.

Side Note: Since this is a permanent work-from-home position and the arrangement is that of an “Independent Contractor,” the selected candidates must have their own computer and internet connection. They will handle their own benefits and taxes. The professional fees are on hourly rates and the rate depends on your performance in the application process.
