Role Name: Administrative Receptionist

Schedule: Part-time (40 hours per week), Monday to Friday 9am to 6pm with one hour of unpaid break

Led by a clinical director with LCSW and PhD credentials, this practice makes a real difference in people’s lives by supporting recovery and rehabilitation in their community.

Job Description: You’ll be the welcoming first point of contact for clients seeking mental health support, playing a crucial role in their journey toward recovery. This remote position offers the opportunity to contribute to meaningful healthcare work while enjoying the flexibility of working from home. You’ll be fully integrated into a purpose-driven team that serves high-volume clients with compassion and professionalism.

Responsibilities:

  • Serve as the primary remote front desk contact for all client interactions
  • Manage comprehensive scheduling and appointment coordination for clinical staff
  • Process and respond to client emails with professionalism and empathy
  • Maintain organized systems for client communications and appointment tracking
  • Provide administrative support to clinical team and practice operations
  • Handle sensitive client information with complete confidentiality and discretion
  • Coordinate with referral sources including probation departments and family services
  • Support practice growth by ensuring smooth client onboarding processes

Requirements:

  • Previous experience in administrative or receptionist roles, preferably in healthcare settings
  • Strong written and verbal communication skills with professional phone manner
  • Proficiency with scheduling software, email management, and basic office applications
  • Ability to handle sensitive mental health information with discretion and maintain strict confidentiality
  • Reliable high-speed internet connection and quiet, professional home office environment
  • Comfortable managing high-volume client interactions with patience and empathy
  • Bonus if you have experience with mental health or social services environments
  • It helps if you’re familiar with HIPAA compliance and healthcare documentation
